How we collect, use, store, share, and delete your information — with a consent-first approach.

Who we are

This website and the Tonicvia service are operated by Anushakti Infotech Private Limited(“Tonicvia”, “we”, “us”), a company registered in India. Tonicvia is a patient-side information and coordination service. We are not a hospital, clinic, insurer, emergency service, or medical provider.

What we collect and why

  • Contact details — name, email, phone/WhatsApp number, country and state. Collected when you submit a form or contact us; used to respond to your enquiry and coordinate your case.
  • Enquiry details — treatment interest, decision stage, expected timeline, preferred callback time, language and time zone. Used to prepare for your discovery call and coordinate services.
  • Medical records — only after you sign the record-sharing consent, and only through the separate process we provide at that time. We do not accept medical records through website forms, and no secure upload portal currently exists on this website. Records are used solely to request hospital proposals you have authorised.

Do not submit medical reports through the general enquiry form. Tonicvia will provide a separate consent and record-sharing process when required.

  • Consent records — which consent version you accepted and when. Kept as evidence of your authorisation.
  • Technical and usage data — pages visited, referral source and campaign parameters (UTM), collected only with your cookie consent. Used to improve the website and measure campaigns.

Consent basis

We process enquiry information based on your request for our services, and medical records only on your explicit written consent. You can withdraw consent at any time by emailing support@tonicvia.com; withdrawal stops further processing but does not undo sharing that you previously authorised.

Who we share information with

  • Hospitals and doctors — only the hospitals you authorise in writing receive your records, for the purpose of preparing a proposal for your case.
  • Travel partners — if you purchase coordination services, we share only the minimum details needed (for example, name and arrival time for an airport transfer). Never medical records.
  • Technology vendors — our website hosting provider, email provider, and analytics provider (Google Analytics, only with your cookie consent). If you contact us on WhatsApp, Meta processes those messages under its own terms.

Tonicvia does not sell personal or medical information and does not use medical-record content for targeted advertising. Treatment details, diagnoses and medical-record content are never sent to Google Ads, Google Analytics, Meta, or any other advertising platform.

International transfers

Tonicvia operates from India and serves U.S. patients, so your information is transferred between the United States and India, and may be processed by vendors in other countries. We apply the same safeguards wherever the data is processed.

Security

We use administrative, technical and organisational safeguards designed to protect personal and medical information, including encryption in transit, access limited to staff who need it, and consent checks before any record is shared. No internet service can promise absolute security; if a breach affecting your data occurs, we will notify you at the contact details you provided.

Retention and deletion

  • Enquiry data: kept up to 24 months after last contact, then deleted.
  • Case and consent records: kept up to 7 years for legal and dispute purposes, then deleted.
  • Medical records: deleted when the case closes or on your request, whichever is earlier.

You can request access, correction, or deletion at any time via support@tonicvia.com or the data deletion request page. Deletion requests are acknowledged within seven days. We may retain minimal records where law requires.

Children

Our services are intended for adults. We do not knowingly collect information from anyone under 18 except when a parent or legal guardian is coordinating care for a minor patient with appropriate consent.

Cookies and advertising pixels

We use a consent manager with three categories: Essential (always on — site function and your consent choice), Analytics (Google Analytics, anonymized), and Marketing(Google Ads conversion measurement, off by default). Analytics and marketing tags load only after you opt in, and you can change your choice anytime via the “Cookie Preferences” link in the footer. Details are in the cookie policy. Medical and treatment information is never sent to these tools.

Changes to this policy

When this policy changes, we update the version number and effective date at the top of this page. Material changes affecting how your data is used will be communicated to active cases directly.
